About This Role:
As the Office and Events Manager, you will ensure Galois’ workplaces run effectively and enable a positive and inclusive environment for our community. We are looking for a people-focused problem solver with exceptional organizational, attention to detail, and time management skills. Working with the People Operations team and cross-functionally, you will oversee our facilities and events programs and services in addition to supporting operational results.

This role is onsite and based out of our downtown Portland, OR office.

Responsibilities:

  • Facilities
    • Oversee facilities spaces and resources, focusing on excellent employee experience balanced with good stewardship of company funds.
    • Manage the office by working with food and supply vendors to ensure delivery of requested products and tidying of common areas.
    • Oversee facilities repairs, inspections, and renovations.
    • Space planning and support of employee’s workspace comfort and adjustments.
    • Create and maintain emergency procedures, educate employees, and ensure appropriate coordination response in the event of an emergency.
    • Maintain documentation of facilities processes, services, and floor plans.
    • Partner with People Operations and Security teams to ensure that facilities meet compliance and regulatory standards.
    • Greet and connect visitors with their host, in coordination with the Security team.
    • Seek opportunities to improve the workplace experience and operational efficiency.
  • Events
    • Plan, organize, coordinate, and communicate company meetings, team and social events, and special events with external visitors.
  • Travel
    • Support employees and visitors with travel arrangements.
    • Liaise with travel agents and vendors to resolve issues and negotiate pricing.
    • Support employees in completing and processing travel expense reports.
  • Operational Support
    • Conduct new hire facilities orientations so all new employees have a positive entry into Galois and knowledge of how to navigate our resources.
    • Support offboarding processes including desk reassignment and coordination of shipping needs.
    • General administrative support including mail distribution and shipping services.
    • Manage company swag and supplies.
    • Support facilities financials including budgeting and expense reporting.
    • Flexible to new duties as we grow and priorities emerge.

Skills and Requirements:

  • 3+ years of experience in a Facilities/Office Management/Administrative support role.
  • Experience managing facilities, vendor activities, and supporting workspace needs.
  • Critical thinking skills to connect the dots, use best judgement, apply discretion, and make sound decisions.
  • Organizational skills with the ability to prioritize and self-manage tasks.
  • Strong verbal and written communication skills and ability to collaborate effectively as a team member.
  • Embodies a people-first and customer service mindset.
  • Ability to function well with changing priorities and environments.
  • Proficient skills in Google Suite, calendaring, and adept at learning software systems.

Nice to have:

  • Health, safety, and environmental facilities training or experience
  • HR, Compliance, or Legal experience is a plus
  • Experience with organizing large-scale events is a plus
